Private Experiences Associate

The Private Experiences Associate is the embodiment of Donum and our guest experience philosophy. A key role with Donum, our hosts serve to educate our guests, share our unique story and invite our guests to purchase wines and join our membership program. This role works with the Private Experiences management team to assist with the planning and logistics of various tastings and events both on the Estate and Offsite. The Private Experiences Associate is responsible for all aspects of the guest experience, from planning to set-up through breakdown of the necessary experience.


Duties may include but are not limited to the following:
• Guest Experience – Host our guests for an educational and memorable visit to our estate. Our hosts create memories through storytelling and educate through sharing their knowledge of our winemaking and viticulture techniques.
• Guest Engagement – Our hosts strive to create and cultivate meaningful relationships with our members and guests with genuine interaction that is approachable and friendly.
• Membership and wine sales – Hosts are evaluated on wine sales, membership sign-ups and Donum’s core behaviors of Belief, Teamwork and Excellence.
• Create and maintain a guest-oriented environment focused on building guest relationships and loyalty.
• Well versed and passionate about wine. Seeks to attain wine knowledge ranging from the wine industry, farming and production. Deploys that knowledge to build rapport and educate our guests and members.
• Input orders and maintain guest notes accurately and in a timely fashion through our CRM.
• Ability to work in a fast-paced environment and keep busy during down time.
• Engage with guests and promote capture of contact data for our membership program, mailing list, and wine sales.
• Direct foot and vehicle traffic, set up and break down of experiences including glassware, menus, notecards, and pens.
• Responsible for buffing and cleaning glassware and restocking as needed.
• Ability to set up and break down experiences with little to no supervision.
• Excellent time management; proactively sets up experiences. When hosting, displays time management maturity and hosts groups within the allotted time frame.
• Ability to host VIP experiences, trade, offsite events, and members.
• Does not tire of repetitive tasks.
• Attends in house educational trainings.
• Responsible for writing wines off accordingly

Experiences Responsibilities:
• Working with the Private Experiences team to identify and book experiences through our partners, private clients and Donum contacts.
• Provide a point of contact for Donum clients during the planning of their experience.
• Working with the Private Experiences Manager to facilitate lunches and dinners booked through the Private Experiences Channel
• Work with the Director of Private Events to ensure the Events & Experiences department meets budget and revenue goals.
• Openly communicate Private Experiences team and Hospitality about upcoming events and VIPs.
• Coordinate with the Private Experience team to conduct logistical site inspections (with potential and confirmed clients and vendors) for selling experiences.
• Ensure appropriate pre- and post-event communication, building sustainable relationships with clients/guests to ensure repeat business.
• Create and sustain productive relationships with event-related clients, vendors, companies, and supporters.
• Work with the Private Experiences Coordinator and Private Experiences Manager on BEOs for upcoming events
• Send proposals, and book events using our booking system and process deposits and payments.

• Have a clear understanding of The Donum Estate – wine, vineyards and winegrowing, art, community, and values
• Always maintain positive guest relations
• Work with unyielding commitment to the winery’s success
• Strong collaborator with all departments

Supervisory Responsibilities
• This position does not have budgetary oversight.
• This position does not have supervision of direct reports.

Work Environment
• Work environment is primarily in the main Donum House and various tasting locations on the Estate
• Will frequently interact with winery colleagues, external service providers and vendors
